What information does a service need to have in order to claim Jobs, Education and Training Child Care Fee Assistance (JETCCFA) on behalf of a family?

A service needs to have a copy of the latest JETCCFA eligibility letter that has been issued to the family by the Family Assistance Office.

The Family Assistance Office (FAO) issues a letter to families to confirm their eligibility. This letter includes a specific service type, the number of JETCCFA hours they are approved for, and the date range of the approval. Customers are approved for 12 hours JETCCFA for each day of care they need to complete their JETCCFA activity.

You should not consider a customer approved for JETCCFA unless they can provide a current copy of this letter.

After you have sighted the JETCCFA eligibility letter, flag the enrolment record to indicate this is a JETCCFA customer. All eligibility details will be returned through your software including:

  • confirmation of JET eligibility
  • the number of days per week the customer is eligible for JET (CCMS takes the number of eligible hours and divides by 12. For example, 36 hours divided by 12 hours per day equals 3 days)
  • start date of the eligibility
  • end date of the eligibility 
  • confirmation of the service type

If the FAO cancels or changes a customer’s JETCCFA eligibility for any reason, you can retrieve updates through your software and look at the child's enrolment record to see the changes, even if the family has not given you an updated letter, or told you their eligibility has been cancelled.

The family using JETCCFA at my after school care service is eligible for 3 days or 36 hours of care. Does this mean they can use JETCCFA for all 5 days they attend after school care as they will have enough hours?

No. If you use less than 12 hours in a day, the remaining hours cannot be used on any other day. If a child is approved for 3 days of JETCCFA they can only use 3 days, not 5.

Scenario – Eligible for 3 JETCCFA Days 

Sun Le attends before school care and you have received a letter from her dad Wang saying she is eligible for 36 hours of JETCCFA. Sun Le attends your service 5 days a week. Even though she has enough hours (36) to cover the five days, she is only eligible for 3 days and so you only flag the Monday, Tuesday and Wednesday sessions as JET sessions. It would be okay to flag any three days of the five days Sun Le attends.
